Terms & Conditions
These Terms & Conditions govern your use of the Wintermind website and platform, including browsing therapist profiles, submitting enquiries, creating an account, and booking services through Wintermind.
Last updated: 30 April 2026
1. About these terms
These Terms & Conditions apply to your use of the Wintermind website and related services. By accessing or using the website, creating an account, making an enquiry, or booking a session through the platform, you agree to be bound by these terms.
If you do not agree with these terms, you should not use the website or platform services.
2. Who we are
Wintermind Private Ltd operates Wintermind as an online therapy platform that helps users browse therapist profiles, compare options, and arrange or book support online.
Business name: Wintermind Private Ltd
Email: wintermindprivateltd_admin@wintermind.co.uk
Address: 17 Buckland Road, Cheam, Sutton, SM2 7LL, England
3. Role of Wintermind
Wintermind operates as a platform that helps users discover therapists, browse profiles, and arrange or book services online.
Depending on how a service is structured, Wintermind may:
- introduce users to independent therapists who provide services in their own professional capacity; and/or
- facilitate booking, administration, and payment arrangements through the platform.
Unless expressly stated otherwise, therapists listed on Wintermind are independent practitioners and are responsible for the therapy services they provide, including their professional conduct, clinical decisions, and the information in their profiles.
4. Eligibility to use the platform
You may use Wintermind only if you are legally capable of entering into a binding contract.
If you are using the platform on behalf of another person, you confirm that you have the authority to do so.
Where services are provided to children or young people, additional requirements such as parental or guardian involvement may apply depending on the service and the circumstances.
5. Accounts and user information
If you create an account, you are responsible for ensuring that the information you provide is accurate, current, and complete.
You are also responsible for keeping your login details secure and for any activity that takes place under your account unless caused by our failure to protect the platform appropriately.
We may suspend or restrict access where we reasonably believe that account information is inaccurate, the platform is being misused, or security is at risk.
6. Therapist profiles and website content
Wintermind aims to ensure that therapist profiles and website content are presented clearly and in good faith. However, profile information may be supplied by therapists and may change over time.
While we take reasonable steps to maintain the website and platform, we do not guarantee that all content will always be complete, current, accurate, or uninterrupted.
Please contact us if you notice information that appears inaccurate or misleading.
7. Bookings and appointments
When you request or confirm a booking through Wintermind, you agree to provide accurate booking information and to follow any instructions given during the booking process.
A booking is normally confirmed only once you receive confirmation through the platform, by email, or through another agreed method.
Appointment times, therapist availability, and service options may change. We reserve the right to decline, reschedule, or cancel bookings where reasonably necessary, including in cases of availability issues, operational problems, safeguarding concerns, or suspected misuse of the platform.
8. Fees and payment
Session fees and any platform-related charges will be shown during the booking process or on relevant therapist listings. By making a booking, you agree to pay the fees clearly presented to you at the time of booking.
If Wintermind applies an administration fee, referral fee, or platform charge as part of the total price, that total should be shown clearly before a booking is completed.
Payments may be handled by Wintermind, by a third-party payment provider, or by the therapist depending on the service setup. Where third-party providers are used, their own terms may also apply.
9. Cancellations, rescheduling, and refunds
Cancellation and rescheduling rules should be read carefully before booking, as they may affect whether a refund, credit, or rearranged session is available.
Unless otherwise stated during the booking process, the following general approach may apply:
- bookings cancelled or changed with sufficient notice may be rescheduled or refunded, subject to the applicable cancellation policy;
- late cancellations or missed appointments may be charged in full or in part;
- where a therapist cancels, Wintermind will try to offer a rearranged session, credit, or refund as appropriate.
Any specific cancellation, rescheduling, or refund rules shown during the booking process will take priority where applicable.
10. Therapy services and professional responsibility
Therapy is a professional service and outcomes can vary from person to person. Wintermind does not guarantee any particular therapeutic outcome or result.
Independent therapists are responsible for the professional services they provide, including clinical assessment, suitability, treatment approach, safeguarding decisions, and professional record-keeping where applicable.
11. Not a crisis or emergency service
Wintermind is not an emergency or crisis intervention service. The website and platform should not be used to seek urgent help where there is an immediate risk to life, safety, or serious harm.
If you or someone else is in immediate danger, contact emergency services right away or use an appropriate urgent mental health support service.
12. Acceptable use
You agree not to misuse the website or platform. In particular, you must not:
- use the website for unlawful, abusive, fraudulent, or misleading purposes;
- attempt to gain unauthorised access to accounts, systems, or data;
- upload malicious code or interfere with the operation or security of the website;
- harass, threaten, abuse, or impersonate therapists, staff, or other users;
- copy, scrape, or republish website content in a way that infringes rights or harms the platform.
We may suspend, restrict, or terminate access where we reasonably believe these terms have been breached.
13. Intellectual property
Unless otherwise stated, the Wintermind website, branding, design, text, graphics, and platform content are owned by or licensed to Wintermind Private Ltd and are protected by applicable intellectual property laws.
You may use the website for personal, lawful, and non-commercial purposes only. You must not reproduce, distribute, modify, or commercially exploit website content without prior written permission, except where the law allows it.
14. Availability of the website
We aim to keep the website and platform available and functioning properly, but we do not guarantee continuous availability. Access may occasionally be interrupted for maintenance, updates, technical issues, or reasons beyond our reasonable control.
15. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or any rights that cannot legally be excluded under applicable consumer law.
Subject to that, Wintermind Private Ltd will not be liable for losses that were not reasonably foreseeable, losses not caused by our breach, or business-related losses suffered by consumers using the platform for personal purposes.
Where therapists are independent providers, Wintermind Private Ltd is not responsible for the clinical decisions, treatment content, or professional services delivered by those therapists, except to the extent required by law or where Wintermind Private Ltd is directly at fault.
16. Consumer rights
Nothing in these terms is intended to remove or reduce any statutory rights you have as a consumer. If any part of these terms conflicts with mandatory consumer protections, those rights will continue to apply.
17. Privacy and cookies
Your use of the platform is also governed by our Privacy Policy and Cookies Policy, which explain how personal data is handled and how cookies or similar technologies are used.
18. Suspension and termination
We may suspend or terminate access to the website or platform where reasonably necessary, including for security, maintenance, legal compliance, non-payment, suspected fraud, misuse, or breach of these terms.
You may stop using the platform at any time. Any provisions that are intended to survive termination, including liability, intellectual property, and payment-related terms, will continue to apply where relevant.
19. Changes to these terms
We may update these Terms & Conditions from time to time to reflect legal, regulatory, operational, or service changes. Where appropriate, we will update the “Last updated” date at the top of this page.
20. Governing law and jurisdiction
These terms are governed by the laws of England and Wales, unless another part of the UK consumer law framework applies to you based on where you live. Any disputes will be subject to the courts of the relevant UK jurisdiction, without affecting any rights consumers may have under applicable law.
